Why Your Restaurant Is Losing Bookings
Most restaurants lose 15–25% of potential bookings weekly. Not for lack of demand — but because contact points between intent and table are broken.
Twenty-three per cent of the calls a restaurant takes during service go unanswered. That is our own Q1 2026 data, and it describes venues doing well: full rooms, a team on the floor, no spare hands. The demand is there. The capacity to take it is not.
Add the requests that arrive once the doors are shut, and most restaurants lose fifteen to twenty-five per cent of the bookings they were offered. Every week. None of it shows up in the book, which is why nobody fixes it.

The 5 invisible leaks costing you covers
Five breaking points, in the order they cost the most. They show up at venues that think everything is fine.
A large share of calls goes unanswered during service hours: your operator gives you the exact figure

30 sec is all a guest needs to book at the restaurant next door if you don’t reply (Behavioural estimate)
Missed calls during service. Between noon and 2 pm, between 7 pm and 10 pm, your team is on the floor. A guest hangs up, opens Google, and books next door. Done in 30 seconds.
Unanswered messages. WhatsApp, Instagram DMs, Messenger, email. Read the next day. Too late: the guest has booked elsewhere.
The language barrier. A Japanese tourist, an American couple, a Brazilian business traveller: they want to come, and the reply never arrives in their language.
Closing hours. 52% of requests arrive when nobody can respond. Those intentions fall into the void.
Platforms: useful but limited. TheFork and Google generate bookings but take a commission and can’t handle complex requests. The real challenge: maximise direct bookings, commission-free.
What AI changes in practice
This is not a technology question. It is an availability question: being reachable when your team cannot be.
Without AI
- Missed calls with no follow-up
- Instagram DMs read the next day
- Zero response after 10 pm
- International clientele not covered
With Heep
- Every missed call triggers a WhatsApp follow-up in 30 sec
- Response on all channels in < 2 min
- Available 24/7
- The guest's own language, handled natively
Measured impact across Heep restaurants
What restaurants observe after three months. The third line is the one that compounds.
- +30 to 40% direct bookings. By capturing missed calls and replying instantly across all channels: volume increases mechanically.
- 15 hours saved per week. No more calling guests back, managing Instagram DMs between services. The AI absorbs 80 to 90% of recurring requests.
- Zero bookings lost overnight. A guest who wants to book at 11 pm gets a confirmation in 2 minutes. Not the next morning.
Case study — Noto Paris (Moma Group)
- Before Heep: 1 call in 4 missed during service, no follow-up system.
- After deployment: 2,500 calls recovered and 1,600 confirmed bookings per month.
- Zero additional hires. Deployment in a few days.

Should restaurants be worried about AI?
It comes up in almost every meeting, and it is a fair question. The welcome, the smile, the sommelier’s advice: none of that can or should be automated.
But there is a distinction between the in-room experience and everything that happens before it. Taking bookings, answering messages, following up on missed calls: those need speed and availability, not human sensitivity.
AI doesn’t replace the human in hospitality. It frees the human to focus on what they do best: delivering an unforgettable experience in the room.
Run the arithmetic yourself. Count missed calls and unanswered messages for seven days, split service hours from closed hours, multiply by your average spend and a conservative booking rate. Then multiply by fifty-two. That annual figure, not the weekly one, belongs in your next management meeting.
Frequently asked questions
Where do I start to reduce lost bookings?
Start by measuring. For one week, count your missed calls and unanswered messages between 7 pm and 9 am. That figure multiplied by your average spend is your immediate growth potential.
Does Heep work independently of TheFork or Zenchef?
Heep integrates natively with Zenchef, TheFork Manager and SevenRooms, but can also work without a booking system — managing reservations directly via WhatsApp or SMS.
How long does it take for Heep to go live?
A few days. Heep learns your menu, opening hours and rules during an initial brief. Activation is handled by our team, with no technical work required on your end.
Can Heep handle multiple venues?
Yes. Heep is natively multi-venue. Each restaurant has its own profile, hours and rules. You manage everything from a single dashboard.
