What Heep does with your emails

Frequently asked questions

The questions we hear most.

Do I need to change my email address?

No. You keep your address (contact@, bookings@ and so on) and your email client. You create an automatic forwarding rule to the address Heep gives you. The setup assistant walks you through it step by step and handles the confirmation Gmail asks for.

Which address do the replies come from?

Your restaurant's name. For replies to be sent from your own domain and land reliably in the inbox, two records need adding with your hosting provider (SPF and DKIM). The assistant shows you which, and our team activates them with you during onboarding.

Does Heep reply to every email?

No. Automated messages are set aside with no reply. It answers what you have authorised it to handle (bookings, questions, group enquiries) and forwards the rest. On a sensitive subject, a complaint or an allergy for instance, it stops and lets you know.

What happens to an invoice or a job application?

You choose for each subject: forward to an address (your accountant, whoever is hiring), notify you, or simply file it in the inbox. No reply is sent unless you want one.

What if Heep gets it wrong?

Every email handled is visible in your inbox with the reply that was sent. You take over, correct it, and add to Heep's memory so it does not make the same mistake again. You can also narrow what it handles on its own and leave it with sorting only.

Does it work with Gmail, Outlook, OVH?

Yes. Any email service that can automatically forward incoming emails will do. Setup happens in your mailbox settings, with the Heep setup assistant alongside.
