The memory is not a black box. Every fact has its category, its source and its date. You read it back, correct it or delete it from the app, like a note the team passes from hand to hand. A dated instruction carries its expiry date; a fact taken from a PDF links back to the original document.

An evening, for example

6:40 PM, it's raining. You write to Copilot: “Terrace closed tonight, offer the dining room.” At 8:15 PM, a guest asks for a table outside: Heep offers them the dining room and takes the booking in your reservation software. How does Heep learn my restaurant?

Through a memory questionnaire you fill in from a link, with no account to create, then through the documents and links you give it: menu as a PDF or a photo, website, Google Doc with today's specials. Heep extracts the information and files it in a library you can read back. From there, the memory grows with every conversation, each time you complete a question to review.

What happens when Heep doesn't know the answer?

It doesn't guess. The question goes into “To review” and you are notified. You answer in a sentence and the information is kept for next time. In the first few days you complete a handful of questions; then the list empties out.

Can I give an instruction that only applies for one evening?

Yes. Write “terrace closed tonight” or “no group bookings on Saturday the 21st” to Copilot: the instruction applies immediately and disappears on its own on the date you gave. There is nothing to remove the next day.

My menu changes often. Do I have to re-enter everything?

No. Drop in the new PDF or a photo of the chalkboard, or give a link to the page on your website or the Google Doc you already keep up to date. Heep reads the document again and updates the memory. If a piece of information contradicts the old one, it asks you which to keep.

How does Heep get to know my restaurant?

You are the one who feeds it, and it doesn't take long. To begin with, you answer a questionnaire (typing or dictating), you upload your menu as a PDF or a photo, or you paste a link to your website. Heep pulls out the useful information.

After that, you add whatever changes from one week to the next: a temporary instruction ("terrace closed tonight") that expires on the date you choose, a special menu, a private-hire rule. Heep flags contradictions before saving, and shows you the questions it still has no answer for.

What happens if Heep does not know the answer to a question?

It does not guess. It tells the guest that a member of the team will come back to them, and your team gets a notification straight away, on their phones and in the inbox, flagged "action required".

Once you have answered, Heep offers to add your answer to its memory, in one tap. Next time, it will answer on its own.

What if Heep gets it wrong: the wrong opening hours, "fully booked" when we are not?

Heep answers only from what you have given it and from your real data: the opening hours on your Google listing, the availability in your booking software. It does not decide you are full on its own, it looks at your diary. Before writing a booking, it checks that the slot is genuinely free in your software.

In the first few weeks, your team reads the conversations back from the inbox and corrects where needed; whatever was missing is added to the memory in one tap. You can also restrict the AI so that it hands over to a human more often.

Can I customise the tone and style of the replies?

Yes, completely. Formal or relaxed, greetings, sign-off, message length, emoji or no emoji: Heep sounds like your restaurant. You can even set a different tone by channel, shorter by SMS, fuller by email.
