Why responding to every review is non-negotiable
An unanswered review sends a negative signal on two levels: to Google, which factors owner activity into local rankings, and to the next guest who reads reviews before booking. 97% of review readers also read the owner’s responses.
The good news is that it is fast. Replying to a 4 or 5★ review takes under 30 seconds with the right template. Replying to a 1 or 2★ takes 2 minutes, and can turn a public crisis into proof of professionalism.

The 5 rules of a reply that works for you
A template is a starting point. The reply that converts undecided guests into bookings follows five principles.
Respond within 30 minutes
Google measures response time and favours active profiles. A guest who just left a review is still engaged: a fast reply lands.
Always use the guest’s first name
“Hi [Name]” rather than “Hi”: the difference is psychological. Add a specific element from the review, the dish cited, the evening mentioned.
Never defend yourself publicly on a negative review
Replying to a 1★ with a detailed justification makes things worse. The right response: acknowledge, express regret, offer a private channel.
Sign with a name, not “The team”
A response signed “Marie, floor manager” or “Pierre, head chef” significantly improves trust scores in Google A/B tests.
Include your restaurant name in positive responses
Review responses are indexed by Google. Citing the house name, a dish or a neighbourhood feeds your local SEO.

How to automate without losing quality

Should I really respond to 5-star reviews?
Yes. Google rewards profiles with a response rate above 80%. A signed reply on a 5★ reassures future guests and signals to the algorithm that the profile is active. Three lines is enough.
How should I respond to a fake or defamatory review?
Two parallel actions: (1) flag it in Google Business Profile (“violates policy”) and (2) post a short, factual public response without emotion. Never leave a fake review unanswered.
Can I reuse the same template for every review?
No. Google detects identical responses and weights them less. Every reply must contain at least one unique element: the name, a word from the dish mentioned, the date, or a reference to the context.
What’s the ideal length for a review response?
2 to 4 sentences for positive reviews. 3 to 5 for negative ones. On negative reviews, the priority is to shift to a private channel quickly.
